Operations Support Specialist - Direct Hire

We are seeking a dedicated Operational Support Specialist to join our dynamic team. In this role, you will be a key player in enhancing operational excellence by providing crucial support, streamlining procedures, and collaborating with cross-functional teams. Key Responsibilities:
• Process Optimization:
• Collaborate with various departments to identify inefficiencies and streamline operational processes. Recommend and implement improvements to enhance productivity and reduce bottlenecks.
• Documentation:
• Create and maintain clear and comprehensive process documentation, standard operating procedures (SOPs), and guidelines. Ensure that information is up-to-date and easily accessible to all relevant teams.
• Cross-Functional Collaboration:
• Act as a liaison between different teams, fostering effective communication and coordination. Facilitate information exchange to ensure smooth execution of tasks and projects.
• Problem Resolution:
• Address operational challenges promptly by investigating root causes and implementing corrective actions. Escalate complex issues to appropriate stakeholders and follow through to resolution.
• Quality Control:
• Monitor and assess product to maintain high standards of quality and accuracy.
• Office Supply Control:
• Preparing and completing office supply orders for delivery or pickup according to schedule. Receiving and processing office supply products.
• Purchase consumable items like screws, drill bits, and other hardware necessary for day-to-day operations.
• Ensure these items are in stock and readily available.
• Continuous Improvement:
• Participate in cross-functional improvement initiatives and projects. Proactively seek feedback from team members and stakeholders to identify areas for enhancement.
• Manufacturer Coordination:
• Process customer orders and place them with our manufacturer.
• Send order acknowledgments to both our customer and internal teams.
• Monitor the status of orders and communicate delays or issues promptly.
• Work closely with our manufacturer to ensure orders are processed and shipped on time.
• Act as the liaison between the manufacturing team and our largest customer to facilitate effective communication and order accuracy.
Qualifications:
• Proven experience in customer service, operational support, process optimization, or related roles.
• Strong analytical skills and the ability to interpret data to drive decisions.
• Proficiency in documentation and creating clear and concise SOPs.
• Excellent communication and interpersonal skills for effective collaboration.
• Problem-solving mindset with the ability to handle challenges proactively.
• Detail-oriented and highly organized with a commitment to accuracy.
• Familiarity with project management and process improvement methodologies is a plus.
